
System Outline
1. Foreword
There two main types of wrist straps used in various exhibitions and events ¨C audience wrist straps and staff permits. The staff permits include a variety of certifications/permits for exhibitors, operational staff, organizing committee, occasional visitors and so on. Currently, the verification in most of these events is carried out manually and there are a few existing problems in traditional management system and issuing of wrist straps for such exhibitions and events:
(1) Admission wrist straps: there's high possibility that counterfeit tickets (wrist straps) enter into important exhibitions and events, while traditional wrist straps have no satisfying anti-counterfeiting functions. There're many exhibitors prefer exchange of name cards for admission permits --- but this can't record exactly what interests exhibitors events real time.
(2) Some exhibitions allow wrist strap holders to enter/exit the hall multiple times, which will not be able to control the exact quantity of exhibitors effectively. Hence the wrist straps would easily be used by different people, causing great economic losses to the organizer.
(3) It's comparatively inefficient to manage manually for there's a great number of people entering into the events/exhibitions most of the time. This will result in a situation that visitors fail to understand products' accurate status and leave the site due to disorder.
(4) The reuse and management of visitor information. There's large volume of information/data generated in these events/exhibitions and this is very essential for exhibitors as well as the organizer. Currently, most organizers focus on providing booths for exhibitors while rarely offer value-added services to customers regarding these important data and information.
A company has adopted advanced RFID technology with database, LED, communication and technology information technologies to establish an exhibiting system without staff on duty. In this way, visitor management, communication management based on RFID can be largely optimized and this helps improve customers' satisfaction by providing useful data/information.
2. RFID wrist strap system to achieve the goals
RFID wrist strap system utilizes advanced RFID technologies integrating communication, database and information management to provide the organizer and managers with a brand new exhibiting system based on electronic labels (wrist straps) and handheld data collectors. The following goals can be achieved by using LED large screen platform innovative system.
(1) Establish complete computer-based management system implementing electronic wrist straps; realize overall efficient workflow and management concerning wrist strap issuing, inspecting, monitoring, management, data collection, data settlement, analysis, inquiry and report;

3. System introduction
For large-scale conferences, exhibitions and concerts, data needs to be stored in center database server due to a large ¡¡¡¡number of visitors. Data is called to be used when necessary for wrist strap making and data statistics. On the other hand, for users who purchase (or for free) wrist straps, personal information should be collected on each wrist strap and uploaded to central database. In this process, client of wrist strap should come with capabilities of processing data and there's a platform for online registration.
Therefore, the system should be developed combining C/S and B/S modes so as to realize the advantages.
(1) Basic functions of ID confirmation by wrist straps
Wrist straps issuing: management staff confirm wrist strap type, unit price (can be free) and valid period and other parameters to finish onsite handling and issuing of RFID wrist straps.
Display current status of wrist straps.
Submit wrist strap information to server.
(2) Basic function of wrist strap verification sub system
Read electronic wrist strap by handheld data terminals when entering/exiting exhibition, and to carry out security verification by using certain modules and legal staff list.
(3) Basic function of booth LED video activation and audience record
Exhibitors can use handheld devices to identify visitor's RFID wrist straps when LED video is on. After exhibition, exhibitors can withdraw corresponding data from data base and print them out if necessary. They can also use handheld data terminals to carry out real-time wireless data transfer and monitoring by connecting to central data base. This will help to collect data of booths interesting to visitors and time duration they stay in each booth.
(4) Basic function of statistics and analysis system
- Analyze and summarize wrist straps issuing situation of different timing and locations.
- To inquire and calculate wrist strap issuing time, location, type and admission information.
- Statistics and inquiry for financial income status.
- Print various statistical reports.
Can carry out statistics and analysis as below:
- Unit and personnel statistics, including exhibitors, buyers, other organizations and general visitors. It can be done according to region, industry, size and nature
- Visitor basic information statistics: gender, age, position and company
- Purposes of exhibitors and visitors: sourcing, seeking partners, market research and analysis
- Industries, exhibitors and products noted in the exhibition, visiting frequencies and stay duration
(5) Basic function of system maintenance for sub system
Finish processes of user registration, authorization, operation record, system parameter, data transmission and more.
(6) Basic function of online registration in sub system
Exhibitors and visitors can submit or modify corresponding information in advance online, so as to avoid inconvenience caused by information forms filling, queue jam and crowds. This also helps to minimize the system pressure of overload.
4. System workflow
Workflow in details:
(1) Registration
Similar to exhibition workflow, visitors are asked to fill in data collection cards (or exchange with name cards) before entering the hall. This will help to print wrist straps easily for continued data collection and statistics so as to avoid entry jams by using with online registration sub-system.
(2) Receive wrist straps
Data entry specialists put the collected data into data base and make corresponding wrist straps, where the basic information (i.e. name, organization) of visitors can be seen.
(3) Entrance
Visitors with wrist straps pass by entrance and the RFID equipment installed will identify accordingly and gives alarms when necessary.
¡¡¡¡(4) Exhibition booth
Exhibitors can identify interested clients (should be activated) by using handheld devices to read the RFID wrist straps on their hands. After exhibition, personal data and stay time information can be withdrawn from data base for printing and analysis.
(5) Exit
Among all exits, the RFID readers should also be placed to identify and verify visitors with RFID wrist straps, ensuring accurate analysis and statistics.
(6) Wrist straps recall
For environmental concerns, the RFID wrist straps can be put to recycling bins or presented to audience as gifts or premiums after exhibition.
