Smart RFID Linen Management for a Global Luxury Hotel Group

Background

A leading global luxury hotel group operates more than one hundred hotels worldwide, managing tens of thousands of linen items across daily operations. Traditional linen management processes, including receiving, laundry tracking, inventory checking, and retirement management, relied heavily on manual labor.
As operations expanded, the hotel group faced increasing challenges in linen circulation visibility, inventory accuracy, and cost control. To improve operational efficiency and establish a more transparent linen management process, the group partnered with Chainway to deploy an RFID-based linen tracking solution.

Challenges

Inefficient Linen Handover and Inventory Checks
Large volumes of linen are processed every day in hotel laundry operations. Manual item-by-item counting during collection and delivery was time-consuming, especially during peak periods, affecting linen turnover efficiency.

Limited Tracking of Linen Usage and Loss
Without digital tracking, it was difficult to monitor linen movement across different operational stages or identify loss sources. Manual inventory checks were also prone to errors, resulting in discrepancies between actual stock and records.

Lack of Washing Cycle Management
Different linen types have different service lifecycles. However, traditional methods could not accurately record washing frequency for each item, making it difficult to optimize replacement schedules and control costs.

Solution

Chainway deployed an RFID-based linen management system featuring the Chainway R3 Desktop RFID Reader, Chainway U300 Fixed RFID Reader and Chainway C72 Handheld RFID Reader to enable full lifecycle tracking from linen registration to retirement.

RFID Tag Encoding with Chainway R3
Before linen enters operation, staff use the Chainway R3 Desktop RFID Reader to write key information, including linen category, specifications, ownership, and activation date, into durable RFID tags. Each item is assigned a unique digital identity for lifecycle tracking.

Automated Laundry Tracking with Chainway U300
Installed at laundry receiving and dispatch points, the Chainway U300 Fixed RFID Reader automatically captures multiple RFID tags during linen transfers, recording item quantity, movement direction, and timestamps for real-time inventory updates.

Flexible Inventory Checks with Chainway C72
The Chainway C72 Handheld RFID Reader enables fast warehouse inventory checks and flexible linen verification. With reliable UHF RFID performance and mobile operation, it supports bulk scanning, small-batch transfers, and scenarios where fixed readers are unavailable.

Results

Improved Operational Efficiency
Automated RFID bulk reading significantly reduced manual counting during laundry handovers. Processes that previously required dozens of minutes were shortened to seconds, while warehouse inventory checks became faster and more efficient.

Enhanced Linen Traceability and Cost Control
With complete RFID-based tracking, every linen item can be monitored throughout its lifecycle. Real-time movement records improve loss management, while clearer inventory visibility supports more accurate cost control.

Optimized Linen Lifecycle Management
By automatically recording washing cycles and usage history, the system helps managers identify when linen reaches replacement thresholds, balancing service quality with operational costs.

Data-Driven Operational Decisions
The management platform provides real-time inventory records, movement reports, and usage statistics, enabling hotel teams to make informed decisions on procurement, replacement planning, and daily operations.

By integrating Chainway handheld, fixed, and desktop RFID readers, the hotel group achieved a smarter linen management workflow with improved efficiency, traceability, lifecycle control, and data-driven decision-making.
