Medical Equipment Tracking with Mobile Computer

Background
This case study is about a hospital which had a focus on assets tracking. But every department was responsible for maintaining the records of its assets separately. With the result, the hospitals top management could not identify the real-time position of assets in the company. Thus, the hospital wanted to centralize the assets tracking solution for better maintenance and tracking.

Challenges
  1. Manual maintenance and tracking of critical equipment for OT were difficult as it could be used by any department.
  2. In the absence of a central database, departments purchased the assets already available in the company.
  3. Manual assets tracking process was time-consuming and costly.
  4. Assets data could be easily manipulated and the company had to bear the losses in the event of theft of expensive assets.
Solution
Hospital administration realized the requirement of a suitable assets tracking solution for tracking equipment & surgical tools, thus management approached Chainway company. After considering the hospital requirement, Chainway offered C4000 mobile computer for better assets tracking solution. Chainway replaced the manual assets tracking procedure with an automatic data capturing solution which included customized software and C4000 mobile computer.

Application

Roll Call Management
All the tools and equipment were labeled with a barcode which carries all the information about the respective equipment such as date of purchase, schedule for maintenance, department, etc. This information was further linked with the hospital management system. So, any authorized person could track the detail of equipment by scanning the barcode with the help of C4000 mobile computer.

Tool Distribution
Tools and equipment could be easily allocated among the departments. Every time, equipment was allocated to a department, a guard with a mobile computer scanned the barcoded equipment and update the main database with allocated assets.

Tool Returning
At the time of equipment return, a guard scanned his id badge with the help of a mobile computer. Thereafter equipment is scanned for the return. The equipment and concern department information displayed on the mobile computer screen. Thus, the procedure could be completed by mark return on the handheld.
 
Effects
  1. Equipment and assets tracking process are now very simple and fast.
  2. The automated process has eliminated the chances of any mistake or manipulation.
  3. Real-time information sharing helps the management to ensure the availability of equipment all the time.
