PDA Based solution for Attendance Management

Background
Malaysia’s economy is highly dependent upon the production & export of palm oil and as the largest producer of Palm oil, Malaysia comes next to Indonesia. Palm plantation usually required a large area and laborers, this traditional method of attendance management is inappropriate and time-consuming. There is no tap on time consumed by employees for lunch or misuse of punching system which is why a company has to face many operational expenses.

Challenges
1 Workforce management in an open area is always a tough task and palm tree plantation requires a huge open area. Thus, the traditional attendance method is inappropriate.
2. Normal check-in and check-out process require lots of time.
3. In Palm oil production, most of the workers are paid on per hours basis which is difficult to manage with manual method.
4. Manual time attendance is maintained on papers which create lots of problems for the human resource manager to issue everyday payroll for workers as he needs to calculate working time, lunchtime and absents mark on papers.

Solution 
Concern company’s management proposed and implemented barcode & fingerprint recognition-based time attendance solution with Chainway’s PDA. This mobile computer comes with inbuilt barcode and fingerprint scanner which simplify the attendance management process. New solution pre-installed the fingerprint scan of each employee in the company database. Once the employee is enrolled in the system and every time when the employee scans his finger on the mobile computer, a cross-checking process is started where the scanned fingerprint is matched with the database. If the fingerprint is mismatched, concern employee’s attendance will not be marked and this is how the solution eliminated the fake punching. Other than this, this system also monitors arrival and departure timing, lunch break, overtime and absent. 

Effects
1 Paperwork is totally replaced with an automatic process. The new system ensures the availability of worker on duty and also speediest the attendance marking process.
2. Operational efficiency has been improved many folds as multiple entries of attendance data is not required now.
3. Due to portable attendance option workers do not need to reach out to a specific location. The device can be rotated to workers location which saves many working hours.
