Fixed Asset Management for Government of Colombia

Background

As government organizations continue to expand their office infrastructure, managing large volumes of fixed assets has become increasingly complex. Equipment such as office furniture, laptops, printers, and other assets are distributed across different locations, requiring accurate tracking and efficient management processes.

Traditional manual registration methods often make asset inventory time-consuming and difficult to maintain. To improve asset transparency, data accuracy, and operational efficiency, a government organization in Colombia introduced an RFID-enabled asset management solution powered by Chainway C61 UHF RFID Readers.

By combining RFID identification with digital asset management systems, the solution enables faster inventory collection, real-time data updates, and improved visibility throughout the asset lifecycle.

Challenge

Large asset volumes increase inventory workload
Government facilities manage a wide variety of assets across multiple locations, making manual counting inefficient and difficult to perform frequently.

Limited accuracy of manual records
Paper-based registration and manual data entry may result in missing information, incorrect records, or asset discrepancies.

Complex management workflows
Traditional processes often require repeated recording, verification, and system updates, increasing employee workload and reducing operational efficiency.

Inconsistent asset identification methods
Different asset categories may use different labeling approaches, making unified tracking and management more challenging.

Solution

The government organization deployed Chainway C61 UHF RFID Readers to establish a digital fixed asset management workflow. By integrating RFID technology with existing management systems, the solution improved asset identification, inventory efficiency, and data visibility.

  • Efficient RFID-based asset inventory:
C61 enables rapid identification of RFID-tagged assets, allowing staff to complete large-scale inventory checks faster than traditional manual methods.
  • Flexible RFID and barcode identification:
Supporting both UHF RFID reading and 2D barcode scanning, C61 can handle different asset identification methods and provide a more adaptable management approach.
  • All-in-one mobile operation:
With physical keypad input and integrated data collection capabilities, employees can complete scanning, recording, and data uploading tasks through a single device.
  • Extended operation for large-scale inventory tasks:
Equipped with a 11,900mAh high-capacity battery, C61 supports long working periods and helps maintain continuous operation during extensive asset inventory projects.
  • Real-time system synchronization:
Collected asset information can be uploaded directly to backend systems, enabling updated asset records and clearer management visibility.

Result

The RFID asset management solution delivered significant improvements:

  • Faster inventory operations by reducing the time required for large-scale asset counting from two days to approximately 4–5 hours, improving efficiency by more than 70%.
  • Higher data accuracy with RFID-based identification achieving over 99.5% tag reading accuracy and reducing manual errors.
  • Improved asset visibility through real-time data synchronization and transparent asset status tracking.
  • Better employee productivity with simplified workflows and easier daily operations.
  • Enhanced decision-making capabilities by providing management teams with accurate information about asset locations, usage, and distribution.
